Collaborators

Give an outside person or organization access to one event — without adding them to your team.

Events pull in people who aren't on your team — planners, co-hosts, partner organizations — and coordinating them usually means email threads and exported spreadsheets. Collaborators bring everyone into the same space: a collaborator gets access to a single event, not your organization, so an outside partner can work alongside you without joining your team.

In the dashboard

  1. Open the event and go to Collaborators.
  2. Invite the person or organization.
  3. Give them only the permissions they need to run their part of the event — pick a preset like Check-in crew or Full event access, or toggle individual permissions. You can adjust them anytime after.
  4. They explicitly accept the invitation, and from then on the event appears in their own dashboard — your other events and organization settings stay yours.

Team member vs. collaborator: members are your org-wide team with roles; collaborators are outsiders scoped to one event.

With the AI

Collaborator invites are dashboard-only today, but ask away:

How do I give our wedding planner access to this event?

The assistant explains the flow and links you straight to the Collaborators page.

Or just ask

The AI assistant can do this for you.

Everything on this page is one sentence in the chat. Create an account and tell the assistant what you're planning.
