Events pull in people who aren't on your team — planners, co-hosts, partner organizations — and coordinating them usually means email threads and exported spreadsheets. Collaborators bring everyone into the same space: a collaborator gets access to a single event, not your organization, so an outside partner can work alongside you without joining your team.
In the dashboard
- Open the event and go to Collaborators.
- Invite the person or organization.
- Give them only the permissions they need to run their part of the event — pick a preset like Check-in crew or Full event access, or toggle individual permissions. You can adjust them anytime after.
- They explicitly accept the invitation, and from then on the event appears in their own dashboard — your other events and organization settings stay yours.
Team member vs. collaborator: members are your org-wide team with roles; collaborators are outsiders scoped to one event.
